Transferring Print Stock to Reserve

The Reserve Collection is collection of books and off-prints identified by teaching staff as being key to their taught courses (e.g. items on reading lists or other books likely to be in heavy demand). Reserve items are available on 3 hour loan (and overnight) from the ground floor of the Main Library in George Square. Academic staff specify the duration the item should choose to stay in Reserve and can to select key texts to be temporarily placed in the Reserve collection, for example where there is anticipated heavy demand by a large cohort of students. Should you wish to place an items/s on Reserve, please use the Reserve Transfer Form (PDF | Word), and send to:

Please note, the Main Library have a policy of monitoring the use of items in reserve, if the item has been borrowed less than 5 times in the academic year, it will be removed from Reserve and revert to its previous loan type (i.e. standard or short loan). For those items remaining in reserve at the end of the academic year, you will be given statistics for usage and asked to notify the Library whether these items are to remain on Reserve.

Transferring Print Stock where a taught course has moved location

All Informatics bought stock should now be available in the Main Library (see JCML Collections Move Summer 2007). Please ensure that all your recommended reading is now available in the Main Library. If relevant stock has not be transferred, it is likely that it was bought by another School and you may wish to recommend purchase for the Main Library. Course reading lists

To ensure that any textbooks you wish your students to use are available in the Library at the right time, and in sufficient quantities, we need to receive at the earliest opportunity recommendations for purchase (using the Book Purchase Request Form). You may also choose to temporarily place existing texts in the Reserve Collection.

If you are citing references on reading lists to journals/conference proceedings, please be advised that we now have access to a large collection of titles online. The ejournals Portal is available to search/browse all online journals the University has access to.

If you are citing references on reading lists to journals/conference proceedings which the Library does not hold in print or subscribe to online, you may wish to make a photocopy available in a Reserve collection. Remember that it will require copyright permission and will need considerable advance warning to have in place when required. As an alternative, the article may be available via the author's own web-page or via a pre-print server or institutional portal.

Donations

The Library is always happy to consider donations of books and journals, although we reserve the right to decide whether or not to retain such material for stock or to dispose of it according to Library guidelines.

The Edinburgh University Library Collections policy states:

"Donations relating to current and continuing courses, the recording of the University’s intellectual output and which enhance research areas are welcome. Potential donors of gifts of books or other materials, are strongly encouraged to provide a list of materials including the name, dates, and general condition of the material...Due to the high cost of storage and processing, duplicate copies of items will not normally be accepted, except in the following cases:
  • Where additional copies are required for teaching purposes. These will normally be placed either in the Reserve or Short-Loan categories, and will be relegated when no longer required.
  • Where duplicates are accepted as part of a named collection which is to be retained in its entirety, in order to preserve the research value of the collection.
  • Where duplicates are held for copy-specific information (e.g. annotations and inscriptions)".

Therefore, for smaller donations, please send the relevant item details to the Angela Nicholson. As well as a list of bibliographic details, you should indicate why you think it would be a useful addition to the University Collections (i. relates to current and continuing courses, ii. records the University's intellectual output, iii. enhances research areas, iv. other, please specify). Potential donors of significant collections are invited to contact the Director of Collections.

"If gifts are accepted, the University becomes the owner of the material and, as such, reserves the right to determine its retention, location, cataloguing treatment, and other considerations related to its use, maintenance, or removal. The legal implications of access restrictions placed by potential donors as a condition of the donation will be considered when deciding on acquisition or retention. Financial contributions to help expedite processing as well as defray the costs of maintaining the material given to the Library are always welcome".

Therefore, please be aware that once donated, the item/s are the property of the University. You can, however, choose to have your donation recognised in the form of a book plate. If you wish the item to have a book plate, please provide relevant personal details.

Library Training/Information Skills

The Liaison Librarian for Informatics arranges and delivers a variety of information skills sessions throughout Semester, providing guidance on how the Library can help students and/or staff in their study or research (see Presentations and Handouts). This can be arranged for both small and large groups (depending on room and equipment availability). If this is something you would wish to arrange, please contact Angela Nicholson.

Drop-in sessions are also available for anyone with queries on Library resources and services, from queries regarding resources for a new research project to queries on a specific service e.g. how do I conduct a comprehensive literature search?, how do I get access to the full-text, either on or off-campus?, how can I keep track of new papers published?
